GlobalMeet Webcast Retention Policy

Published webcasts have a predefined archive term. It is typical for presentations to be viewed, on-demand by audiences for 90 days, 6 months, 12 months or longer. During this period, administrators have the opportunity to download webcast archives and event usage reports. To assist our customers, in the past we continued to retain recordings and corresponding data internally for an additional 36 months to allow for reactivation requests. However, in light of our legal obligation to put in place appropriate security measures, and to help our customers meet their data minimization and storage limitation obligations under data protection law, we will now permanently delete recordings 12 months after the on-demand archive expiration date of individual webcast presentations. With the new policy in place, GlobalMeet Webcast will no longer be able to retrieve and / or restore customer recordings, or reports, once the 12 month post-archival period has ended.

What does this mean for you?

You will need to download any event content that you wish to retain internally before each event archive expires, or consider purchasing an archive extension. We also recommend that you inform your staff and/or colleagues of this policy. To ensure that you have ample time to download or extend the retention of your recordings, we will send two reminder emails leading up to the expiration of each presentation. Customers are responsible for ensuring that appropriate contact details are attached to each webcast presentation, and that these details are updated in the event that an internal contact leaves or changes role.

When will this enforcement happen?

We intend to delete any existing archived footage affected by this policy change beginning on February 1, 2020. We will then continue to delete archived data as its post-archival period expires.
